Full job description

Raptive seeks a Brand Events Coordinator – Operations & Guest Experience to join the Brand Marketing Team reporting to the Director of Brand Marketing, Events. The role involves planning, executing, and post-producing Raptive events focused on creators, publishers, partners, and advertisers. Responsibilities include managing guest registration, logistics, vendor coordination, hospitality operations, event marketing materials, budget administration, and onsite event support. Requires minimum 2 years experience in consumer or B2B events, strong organizational and communication skills, proficiency in Google Slides and Sheets, and ability to travel frequently for events. Salary range $50,000-$60,000, full-time, on-site in New York, NY.

What you'll do

  • Coordinate planning, logistics, and execution of Raptive-owned events
  • Manage guest registration, attendee communications, and travel coordination with external travel agencies
  • Serve as cross-functional liaison among internal teams, vendors, production partners, and stakeholders
  • Support onsite guest experience by coordinating hospitality operations, catering, staffing, entertainment, production crews, and vendor execution
  • Research venues and hospitality locations; support event production planning and operational timelines
  • Manage event marketing inventory, branded materials, gifting, and event shipping logistics
  • Create operational documents, staff schedules, run-of-shows, and training materials for internal teams and event partners
  • Coordinate programming materials and presentation logistics for internal and external stakeholders
  • Support event budgets through expense reporting, invoice coordination, payment tracking, and budget administration
  • Maintain attendee data, registration tracking, and post-event reporting and analysis
  • Provide on-site operational support at events including troubleshooting and ensuring seamless guest experience
  • Travel to support a minimum of 12 events annually

Requirements

  • Minimum 2 years of experience in consumer and/or B2B events
  • Experience working with content creators in the media space is a plus
  • Strong hospitality mindset with a passion for creating elevated guest experiences
  • Exceptional organizational and project management skills
  • Experience managing logistics across multiple vendors and stakeholders simultaneously
  • Experience with budget tracking, invoice coordination, and expense reporting
  • Ability to manage multiple priorities and adhere to tight deadlines
  • Excellent written communication skills
  • Fluency in Google Slides and Google Sheets
  • Strong problem-solving skills with high attention to detail
  • Highly effective interpersonal and communication skills
  • Negotiation skills are a plus
  • Ability to travel frequently and work onsite during events
