Full job description
The Workplace Specialist supports daily operations of GumGum's Sydney office, ensuring an organized, safe, and inclusive workplace. Responsibilities include managing office supplies, vendors, facilities requests, workplace safety, meetings, events, and new-hire office readiness. The role also supports employee experience programs across JAPAC. Requires strong attention to detail, reliability, sound judgment, and discretion with confidential information. This part-time role (Tuesday to Thursday, 9:00 a.m. to 5:30 p.m.) reports to the Director, People & Culture - JAPAC and is based on-site in Sydney. Experience or training in administration, hospitality, workplace operations, events, or customer service is preferred but not essential. Proficiency with Google Workspace and a service-oriented approach are important.

Own day-to-day rhythm of Sydney office, keeping shared spaces organised, stocked, and functional
Be the go-to contact for building management and vendors, resolving maintenance issues proactively

Background supporting an office, managing supplies, coordinating events, or working with vendors is an advantage
Comfort with Google Workspace or similar workplace technology
Sharp attention to detail and a commitment to getting the work right
Organisation to juggle multiple routine tasks, deadlines, and follow-ups
Sound judgment and discretion when handling confidential or sensitive employee and business information
Warm, service-oriented approach with employees, visitors, vendors, and building partners
Clear written and verbal communication
Adaptability when priorities shift
Commitment to an inclusive environment
Comfort with physical office and event support including moving supplies and setup/cleanup
