Full job description

Nexxen is hiring a Workplace Experience Contractor with 1-3 years of office-related experience. The role involves creating a welcoming office environment, managing day-to-day office operations, supporting employee engagement activities, and providing HR administrative support including onboarding and offboarding logistics. Responsibilities include maintaining office supplies, coordinating maintenance requests, supporting meeting room setups, and assisting senior stakeholders with administrative tasks. Candidates should be organized, proactive, reliable, and have strong communication skills. The position is contract-based with a hybrid work model, located in Chicago, Illinois. Pay range is $22-28 per hour.

What you'll do

  • Create a warm, welcoming environment for employees, guests, and new hires from the moment they walk through the door
  • Own the day-to-day look and feel of the office, ensuring shared spaces are clean, organized, stocked, and functioning well
  • Order and manage office refreshments, snacks, and food programs, keeping the kitchen and common areas stocked and enjoyable
  • Help coordinate and execute employee engagement activities, team events, office celebrations, and culture moments
  • Serve as a visible, approachable presence in the office, building genuine relationships with employees
  • Provide HR administrative support with onboarding logistics for new hires
  • Support the coordination of new hire orientation days, including preparing materials and setting up workstations
  • Assist with tracking and reporting on attendance, headcount, and other People data as needed
  • Support offboarding logistics including equipment collection, system access, and exit coordination
  • Serve as the primary point of contact for office maintenance requests, coordinating with building management and vendors
  • Manage office supply inventory and place orders proactively
  • Support the setup and breakdown of meeting rooms and event spaces as needed
  • Assist with light EA and administrative support tasks for senior stakeholders
  • Ensure office safety, security, and visitor management protocols are consistently followed

Requirements

  • 1-3 years of experience in an office coordinator, HR admin, receptionist, EA, or people-facing operations role
  • Highly organized with strong attention to detail and the ability to juggle multiple tasks without dropping the ball
  • Proactive mindset — spots what needs to be done and does it without being asked
  • Comfortable with basic administrative tasks, data entry, and working in HR or office management systems
  • Strong written and verbal communication skills
  • Reliable, punctual, and committed to being a consistent, dependable presence in the office
