Full job description

RTB House is seeking a junior-level full-time administrative support professional based in Paris, France. Responsibilities include daily office administration, supporting the Country Manager, reporting (office budget), data collection, research and special projects, employee onboarding/offboarding, travel arrangements, meeting planning, office logistics, employee benefits coordination, event organization, invoice collection, documentation management, and collaboration with internal departments and external vendors. Candidates should have 1-2 years experience in a similar role, strong attention to detail, ability to work independently, positive attitude, excellent communication and problem-solving skills, and fluency in English. What you'll do

  • Handle daily administrative tasks in the office including coworking provider management, emails, office organization, visitor support
  • Support the Country Manager in daily duties
  • Generate and run reports such as office budget using spreadsheets
  • Collect data and utilize various tracking tools
  • Conduct research and manage special projects including health and safety projects, audits
  • Support onboarding and offboarding processes for employees
  • Arrange business travel including flights and accommodation
  • Plan and organise meetings and all-hands
  • Manage office logistics including client gift arrangements
  • Manage employee benefits and coordinate with providers (Swile, Alan, Kobi, Hello CSE)
  • Organise and manage logistics for internal and external events (meet-ups, holiday party, team summit, seasonal celebrations)
  • Collect invoices and collaborate with finance department
  • Manage documentation workflows using tools such as DocuSign
  • Collaborate closely with other departments to support operational needs
  • Cooperate with suppliers, vendors, and external service providers

Requirements

  • Minimum 1-2 years of experience in a similar role
  • Strong attention to detail with a high level of accuracy
  • Ability to work independently and manage competing priorities
  • Positive attitude and openness to challenges
  • Excellent communication skills, customer orientation and problem solving ability
  • Fluency in English (written and spoken)
