Full job description

Teads seeks a proactive Office Manager in Madrid to oversee central office operations, support finance and HR administrative tasks, assist the Managing Director, and foster a positive office culture. The role requires 3+ years of EA/Office Management experience, fluency in Spanish and English, strong organizational and interpersonal skills, and the ability to manage multiple stakeholders and projects. Responsibilities include office management, finance and admin support, onboarding and offboarding coordination, executive assistance, cross-department collaboration, event planning, and ad hoc projects.

What you'll do

  • Direct and oversee central office operations, ensure adherence to Health and Safety regulations, manage relationships with key stakeholders, external suppliers, landlords, facilities, and manage the office budget
  • Support Finance in administrative tasks related to billing process, HR administrative related tasks, liaison with third parties (accounting and tax consultants among others)
  • Support People & Culture department on local tasks such as onboarding of new hires and offboarding of leavers process, coordinating all aspects
  • Provide high-level Executive Assistance to the Managing Director and support with travel and expense reporting
  • Act as a go-to person for the entire team, be the culture and process ambassador
  • Collaborate with IT and other departments for local administrative and logistical requirements, managing IT assets
  • Plan and organize internal and external events, drive innovation to keep the office enjoyable
  • Organize employee-related events as part of 'happiness management'
  • Handle ad hoc projects

Requirements

  • Minimum of 3 years of EA/Office Management experience in a fast-paced, dynamic environment
  • Excellent verbal and written skills (fluent Spanish and English)
  • Warm and approachable person, confident, positive, outgoing, and a true team player
  • Super organized, highly detailed-oriented, and always one step ahead
  • Resourceful, bright, proactive 'go-getter' who remains calm under pressure
