Full job description

Office Manager role (13-month maternity cover) based in Bracknell, UK. Reporting to Chief People Officer, responsible for managing UK office operations including vendor contracts, building security, supplies, catering, and office-related queries. Manage Travel Management System Perk, negotiate corporate hotel rates, and support C-Level executives with meetings, diary, and travel. Organise internal events and support Board meeting logistics. Manage Health & Safety policies and act as First Aid and Fire Marshall. Support ESG initiatives and onboarding of new joiners. Requires 5+ years office management experience in scale-up environment, 3+ years supporting C-Level, proficiency in Microsoft Office, vendor contract management, and travel system experience. Desirable skills include SAP knowledge, First Aid and Fire Marshall training, and ESG experience. Hybrid work with minimum 3 days in office. What you'll do

  • Manage the UK office including vendor contracts, building security coordination, kitchen and office supplies restocking, catering arrangements, and being the point of contact for office related matters
  • Manage Travel Management System Perk, act as internal point of contact for employees, negotiate corporate hotel rates
  • Arrange and attend Executive Management Team Meetings, support with note taking, diary management, travel arrangements and ad-hoc projects
  • Support Board Meeting arrangements including travel and agenda circulation
  • Organise and coordinate internal events such as company meetings, townhalls, training sessions and holiday parties
  • Negotiate and maintain contracts with suppliers including hotels, phone contracts and office cleaning services
  • Manage relationship with external Health & Safety consultants, maintain Global H&S policies, act as designated First Aid and Fire Marshall for UK office
  • Support People Team with ESG initiatives including volunteer days, mental health first aiders programme and carbon accounting reporting
  • Support first day onboarding for new joiners primarily UK based

Requirements

  • 5+ years experience in Office Management responsibilities within a dynamic scale up organisation
  • 3+ years experience supporting C-Level in a fast paced environment
  • Commutable and willing to work from Bracknell office minimum 3 days per week
  • Excellent written and verbal communication skills in English
  • Highly organised with keen attention to detail
  • Proficient in Microsoft Office including Word, PowerPoint and Excel
  • Experience in managing vendor contracts
  • Experience managing a Travel Management System, i.e. Perk
  • Desirable: Understanding of SAP
  • Desirable: First Aid trained
  • Desirable: Fire Marshall trained
  • Desirable: ESG Experience
