Full job description

Smartly.io is seeking an Executive Assistant to support senior executives including SVP, Ecosystems Partnerships & AI Applications and SVP, Customer Success, as well as the US commercial teams. Responsibilities include calendar management, travel coordination, event planning, expense management, and cross-functional collaboration to improve business operations. The role requires strong organizational, communication, and project management skills, ability to handle confidential information, multitask in a fast-paced environment, and proficiency with Google Workspace and Microsoft Office. Experience supporting senior executives in a high-growth or startup environment is preferred. This is a hybrid position based in New York, requiring 2-3 days in office weekly, with occasional after-hours and weekend support. What you'll do

  • Support our SVP, Ecosystems Partnerships & AI Applications, the SVP, Customer Success and the broader US commercial teams
  • Work closely with our NYC, Chicago and Helsinki Executive Assistants
  • Actively manage/own the executives’ calendar including arranging and prioritizing meetings
  • Coordinate the executives’ travel, help to plan customer visits and other events including owning all expense collection and submission
  • Collaborate cross-functionally to improve existing business operations
  • Represent the Smartly.io brand in all interactions

Requirements

  • Experience in a similar role with a high-growth, fast paced company supporting a senior level executive
  • Worked in a start-up environment (a focus on Social or Ad-tech is a plus)
  • Ability to multitask and prioritize and meet deadlines in a fast-moving environment
  • Strong verbal, written and interpersonal communication skills
  • Project Management skills and experience
  • Independent and well structured working style with can-do attitude
  • Ability to learn fast learning and determination to achieve goals
  • Google Workspace and Microsoft Office skills
  • Bachelor's Degree preferred
