Full job description

Samba is seeking an organized and adaptable Executive Assistant to support the executive team in San Francisco. Responsibilities include managing complex scheduling across time zones, arranging domestic and international travel, booking meals, light event planning, assisting with meeting preparation and note-taking, facilitating approvals, maintaining secure documentation, and collaborating with other assistants and the Chief of Staff. The role requires a minimum of 5 years professional experience, proficiency with PowerPoint, Word, Excel, Google Suite, and AI platforms, strong organizational skills, discretion, and the ability to travel internationally without administrative hurdles.

What you'll do

  • Manage a heavy scheduling load across multiple time zones ensuring proper stakeholders are included
  • Proactively establish priorities and resolve scheduling conflicts to maximize leadership's time
  • Make all arrangements for international and domestic travel and events, anticipating changes
  • Book lunches and dinners for top executives to ensure seamless travel
  • Lite event planning for executives' speaker events and site visits
  • Travel domestically and internationally to assist executives on business trips
  • Assist in preparation or note-taking for meetings requiring executive input
  • Facilitate processes including signatures and approvals
  • Maintain secure digital and physical filing of documentation with Legal, Finance, or IT teams
  • Work with Chief of Staff and other Executive Assistants to ensure meeting agendas are prepared
  • Prepare timely, polished materials including gathering and editing presentations and content
  • Help leadership with international visas and travel arrangements for various global cities

Requirements

  • A minimum of 5 years of professional experience
  • Prior experience with executive support, communications, or project management preferred
  • Experience working at a high-growth startup or in an established corporate environment
  • Highly proficient with PowerPoint, Word, Excel, and Google suite of applications
  • Ability to travel domestically and internationally as needed without hesitation or administrative hurdles
  • Must meet the highest standards of ethics and personal integrity
  • Demonstrated capacity for discretion and handling confidential information with care
  • Organized individual who can anticipate new situations and ask for help
  • Self-starter who thrives in roles with flexible parameters
  • Curious, fun, strong, and positive mindset
  • Extensive experience working with AI platforms
