Full job description

Innovid seeks an Executive Administrator to support the COO and CPO by managing schedules, interview processes, travel, and communications. The role includes administrative support for HR projects and company initiatives such as DE&I and philanthropy. Requires 2+ years experience in logistics, project management, or executive administration, strong organizational and communication skills, proficiency in G-Suite and Microsoft Office, and ability to work hybrid with 2 days in NYC office. Responsibilities include calendar management, preparing meeting materials, coordinating events, and expense reconciliation. Salary range $70,000 - $110,000 per year.

What you'll do

  • Support, collaborate, proactively problem-solve, and act as a trusted gatekeeper for the COO and CPO to align their time and priorities with business objectives
  • Manage interview schedules within Greenhouse and provide administrative support to the HR team
  • Manage complex scheduling including professional and personal calendars, internal and external meetings, and domestic and international travel
  • Plan, execute, and delegate activities to maximize COO and CPO bandwidth, especially when they are at office locations globally, particularly in New York City
  • Act as liaison between COO and CPO and internal/external stakeholders to ensure smooth communication and follow-up
  • Prepare materials, presentations, agendas, and briefing documents for meetings
  • Organize and manage executive offsites, internal events, team lunches, and client-facing engagements
  • Support company-wide initiatives including DE&I, ESG, Philanthropy, and other cultural efforts
  • Collaborate with other executive support and departments to ensure unified leadership team support
  • Maintain professionalism, confidentiality, and sound judgment at all times
  • Track and reconcile expense reports, invoices, and signed documents following internal processes
  • Perform additional administrative or project-based duties as needed to support COO, CPO, and HR team

Requirements

  • 2+ years of experience in logistics, project management, or Executive Administration in a dynamic, fast-paced environment
  • Strong relationship-building skills with a proactive, can-do attitude and natural problem-solving abilities
  • Exceptional organizational skills and attention to detail with the ability to manage multiple competing priorities
  • Advanced proficiency in G-Suite, Microsoft Office (particularly PowerPoint and Excel), and comfort with learning new tools
  • Strong written and verbal communication skills with the ability to interact professionally with all levels, including the board of directors
  • Ability to exercise discretion, maintain confidentiality, and display sound critical thinking and judgment
  • Self-motivated with the ability to work independently while also collaborating effectively within a team
  • Ability to work in person in NYC office 2 days per week
