Full job description

Seeking a mid-level Executive Administrative Assistant to support three senior leaders across Americas based in Montreal and New York. Responsibilities include managing complex calendars, organizing meetings, coordinating travel and accommodations, preparing meeting materials, reconciling expenses, and supporting office management. Must be bilingual in French and English with 3-5+ years experience in executive or administrative support roles. Strong organizational, communication, and interpersonal skills required. Familiarity with Google Calendar, Navan, Slack, Google Suite, and AI tools preferred. Experience in technology, adtech, or fast-paced environments is a plus. Role involves working across multiple time zones and frequent travel coordination.

What you'll do

  • Manage complex calendars for three senior executives
  • Organize internal and external meetings, anticipate scheduling conflicts, optimize agendas
  • Develop and maintain strong relationships with clients, executives, and external partners
  • Prepare agendas, briefing notes, and meeting documents; follow up on action items
  • Coordinate recurring leadership meetings, QBRs, and offsites across the region
  • Book flights, hotels, transport, visas and other travel documents for executives
  • Create clear, easy-to-follow travel itineraries with confirmations and contact info
  • Manage last-minute changes such as flight delays and meeting rescheduling calmly and efficiently
  • Reconcile travel expenses and submit expense reports on behalf of executives
  • Collaborate with Marketing team to support executive participation in industry events
  • Manage expense reports, supplier invoices, and corporate card reconciliations for executive team
  • Support Montreal office management as needed (supplies, vendor coordination, employee events)

Requirements

  • 3 to 5+ years experience as executive assistant, administrative assistant or similar role
  • Excellent interpersonal and communication skills in French and English (written and spoken)
  • Strong calendar management and travel coordination skills
  • Familiarity with Google Calendar, Navan, Slack, and Google Suite
  • Exceptional organizational skills and attention to detail
  • Discretion and reliability in handling confidential information
  • Ability to remain calm, resourceful and solution-oriented under pressure
  • Comfortable working across multiple time zones and with frequently traveling executives
  • Curious and comfortable using AI tools to enhance executive support
  • Experience in technology, adtech, media, or fast-paced environment is a plus
  • Bilingual French and English is essential
